Service charge demands must be clear, on time, and include the information leaseholders are entitled to under the Landlord and Tenant Act 1985. Vague or late demands are the most common source of disputes in self-managed blocks.
This free service charge demand letter template sets out the amount, period, payment details and leaseholder rights. It is a starting point — confirm the wording with your accountant or solicitor for your specific lease.
Legal requirements to remember
- Demands must be in writing and include the amount and due date.
- Leaseholders may request a summary of costs and supporting documents.
- Costs must be reasonably incurred and paid within 18 months to be recoverable.
- Consultation under Section 20 may be required before major works are charged.
- Keep a copy of every demand and proof of delivery.
Best practice
Send demands at the same time each year, attach the approved budget, and publish a summary of major expenditure to all leaseholders. Transparency upfront prevents tribunal disputes later.
