Terms

Last updated 28 October 2026

These terms cover use of CommonCouncil at commoncouncil.app, operated by Erdoby's. By creating an account or joining a community, you agree to them.

The service

CommonCouncil is a place for a residential block to post announcements, run yes/no votes, and keep tickets. Paid plans are listed on the pricing page.

A paid plan is supplied only to a business: a UK limited company (including an RMC or RTM company), a property factor, a managing agent, or a self-employed property manager buying in the course of that business. It is not sold to a private individual for personal use. A resident may use a community that a business has set up. That does not make the resident the customer.

The invoice is issued to the business, in the business name and at the business address given with the request. It is not issued to individual residents.

Sending a request, or ticking a box, does not by itself make someone a business customer. Before we invoice, we need evidence we can check. A limited company gives its Companies House number. A VAT number is welcome where the business has one, and is not required where it does not. Where there is neither, we ask for something else we can look at, such as a business website or a professional membership, and we do not invoice until that business is confirmed. We may refuse a request we cannot confirm.

A document link points at a file the building manager hosts elsewhere. Small uploads — a photo, PDF or Word document on a ticket, or a document a manager adds — are kept for that building, up to 10 MB per file and 200 MB per building. Do not rely on CommonCouncil to hold large records such as a full lease pack.

Guides, templates and calculators on the public site are general information. They are not legal, property-management or financial advice. You are responsible for how you use them.

Accounts

You sign in with an email and password, or with an email code. Keep that email and password to yourself. You are responsible for what happens through your account.

Join a community only if you live there, work for it, or have been invited to help run it. Give your real name and flat number. An admin can refuse a request to join, change a flat number, and remove a member.

What you post

You keep ownership of what you write. You give us permission to store it and show it to the people in that community, which is the point of the service.

Do not post anything unlawful, abusive, or that you have no right to share. Do not use the service to send junk, to break into another community, or to pretend to be someone else. An admin can remove a ticket, a comment or a vote. We can remove content or close a community that breaks these terms.

A vote in CommonCouncil is a record of what the people who voted said. It is a formal company or leasehold resolution only if the block's own rules say so.

Building managers

If you create or administer a community, you decide why that community's personal data is used. For that processing you are the controller and CommonCouncil is the processor. The data processing agreement is part of these terms for that processing. Creating or administering a community is agreement to it.

The agreement does not replace the notice you give your own residents. Residents are not asked to sign it.

Availability

We aim to keep the site up, and we also take it down for fixes. We do not promise that it will be available all the time, or that a message will be delivered. Keep your own copy of anything you cannot afford to lose.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud. Otherwise, we are not liable for lost profits, or for a decision a block makes using the service.

Changes and law

We may update these terms. The date at the top will change when we do. These terms are governed by the law of England and Wales.
