How to Run Your RMC AGM Online (And Actually Get a Quorum)

You need a quorum at the AGM. You emailed the notice. Three people turned up in person and two joined on Zoom for four minutes before their connection dropped. The meeting is inquorate and you cannot approve the accounts. Sound familiar?
Before the AGM
- 1Post the agenda and last year's minutes in the document library two weeks ahead.
- 2Send an announcement with the date, time and how to join (in person or online).
- 3Open a vote on any resolutions that can be decided in advance.
- 4Remind residents three days before and on the morning of the meeting.
During the AGM
Assign someone to take minutes. For each resolution, record the vote count and any objections. If you opened votes in advance, confirm the results live and note them in the minutes. Keep the meeting focused — AGMs that drag past ninety minutes lose people.
After the AGM
- Upload signed minutes to the document library within a week.
- Post an announcement summarising key decisions for residents who did not attend.
- Follow up on any actions assigned to directors or the managing agent.
