Turn Contractor Emails Into Resident Updates Automatically
4 June 2026 · 5 min read
If you are a director or the de facto organiser of your block, a huge amount of your time goes on one thankless task: relaying information. The lift engineer emails you a date. The managing agent sends the insurance renewal. The window cleaner confirms a visit. And then you re-type it all into the group chat.
The copy-paste tax
Every one of those emails has to be opened, summarised and reposted — usually by one person, usually unpaid. Miss one and residents are left in the dark. Get the wording wrong and you field a dozen replies. It is a tax on the most engaged person in the building.
A better way: forward and done
CommonCouncil gives each block its own email address. Forward the contractor's email — or simply CC the block address — and it appears as a tidy update for residents, with any attachment saved automatically. The insurance PDF lands in the document library. The lift date becomes an announcement. You did one thing: forward an email.
Why this matters
- No information gets lost in one person's inbox.
- Attachments are saved where everyone can find them.
- The organiser's workload drops dramatically.
- Residents get the full picture, not a paraphrase.
